Why Every School Needs a Robust Social Media Management Policy (Yes, Even Yours)

Let’s be honest, social media in schools can be a bit like a school disco. It starts with good intentions, but without proper supervision, the new Assistant Head ends up doing the Macarena in a questionable outfit and the whole thing spirals out of control.

That’s why having a robust social media management policy isn’t just a nice-to-have, it’s essential. Whether your school is proudly posting student achievements or sharing updates about the Year 6 trip to the Roman Baths, your online presence needs structure, security, and a healthy dose of common sense.

1. Departmental Accounts: A Cautionary Tale

We’ve all seen it. The PE department sets up its own Instagram account, the drama club launches a TikTok, and suddenly your school has more social media channels than Ofsted has acronyms. While enthusiasm is great, departmental accounts can quickly become a safeguarding and reputational minefield.

As we explain in our blog "Departmental Accounts: Why You Should Be Cautious", these accounts often lack oversight, consistent branding, and proper permissions. Worse still, they can be managed by staff who haven’t had training in online safety or copyright compliance. A centralised approach, with clear roles and responsibilities, is far safer and far less likely to result in a rogue post showing Mrs Mckenzie's holiday shots!

2. Copyright Compliance: Don’t Get Caught Out

Just because an image is on Google doesn’t mean it’s fair game. Schools are increasingly falling foul of copyright laws by using photos, music, or videos without proper licensing. And yes, even that “inspirational quote” poster with a sunset background might be someone’s intellectual property.

Our blog "Avoiding Copyright Breaches" breaks down what you can and can’t use and how to stay on the right side of the law. Spoiler alert: if you didn’t create it or pay for it, don’t post it.

3. Two-Factor Authentication: Because 'Password123' Isn’t Enough

Security isn’t just for the IT department. With phishing scams and account hijacks on the rise, enabling two-factor authentication (2FA) on all school social media accounts is non-negotiable. It’s the digital equivalent of locking the front gate and checking who’s knocking.

In "Securing Your School’s Social Media", we explain how 2FA works and why it’s one of the simplest ways to protect your school’s reputation. Because nothing says “we’re on top of things” like not having your Facebook page hacked by someone selling dodgy sunglasses.

4. Permissions, Privacy, and Professionalism

Your new School Social Media Management Policy (available here) covers everything from photo permissions to tone of voice. It ensures that:

  • Only authorised staff post content

  • Student and staff privacy is respected

  • Content is accurate, engaging, and aligned with your school’s values

  • Safeguarding is front and centre of every post

It’s not just about avoiding mistakes - it’s about building trust with your community and showcasing your school in the best possible light.
